Users & access¶
Staff accounts let multiple people manage your venue in beacbeac. In the app, this area is called User Management and you reach it from the Admin Dashboard.
Roles¶
beacbeac has four roles, in decreasing order of access:
- Super Admin — full access across all venues. Reserved for the beacbeac team.
- Tenant Admin — full access to a single venue, including managing other users in that venue.
- Curator — can manage beacons and artworks and view analytics. Can't add or remove users.
- Staff — view-only access to analytics. Useful for docents and volunteers who need to see numbers but shouldn't change anything.
The dashboard hides cards a role doesn't have permission for, so a Staff member won't see Manage Content or Manage Beacons at all.
Adding a staff member¶
- Open User Management from the Admin Dashboard.
- Tap + Add User (or the equivalent button on your platform).
- Enter their email, a display name, a temporary password, and pick their role.
- Save.
Hand the temporary password to the new user out-of-band (in person or over an existing trusted channel) — beacbeac doesn't email an invite. They sign in with your Tenant ID, their email, and that password.
Have them change the password
Since you set the initial password, ask the new user to sign in and change it as soon as they have access. Resetting a password later requires contacting an administrator (there's no self-serve reset on the login screen).
Changing someone's role¶
Open the user from the User Management list and edit their role. They'll see the change the next time they sign in.
Removing someone¶
Open the user from the list and choose Delete (or Remove). They lose access immediately.
Don't share logins
Every staff member should have their own account. Shared logins make it hard to tell who changed what, and they make role-based gating useless.
